Position: Client Services Manager
Reports to: VP of Client Services
Location: Remote, USA
The Big Picture
We’re looking for the “central engine” of our client world. This isn’t a job where you just close a deal and toss it over the fence to an operations team. In this role, you are the services and producing team.
You’ll report to the VP of Client Services and handle the full lifecycle: from winning the lead and writing the pitch to building the spreadsheets that make the project work. This is a “full-stack” role that requires a rare mix of sales grit, persuasive writing, and a love for clean data.
What You’ll Be Doing
- Winning the Work
- Handle the Pipeline: You’re the first point of contact for new leads. You’ll hop on discovery calls, figure out what they need, and keep things moving through HubSpot.
- Master the RFP: When a big project comes across our desk, you’ll own the response. You’ll gather the info, write the story, and make sure we submit a winning bid on time.
- Crunch the Numbers: You’ll build custom estimates and pricing that make sense for the client and our bottom line.
- Building the Blueprint
- Project Architecture: Once the deal is signed, you build the “Playbook.” This means creating staffing grids, info sheets, and thinking through every tiny detail, so the team on-site has a smooth experience.
- Own the Data: You’ll be the “Source of Truth” for our projects. You’ll manage all the project data in HubSpot and Excel to make sure nothing falls through the cracks.
- Level Us Up: You’ll help us build and improve the templates we use so we can stay organized as we scale.
- Communication: Though you will be responsible for building the blueprint, your role will require you to set expectations with internal teammates to set deadlines, review procedures, and set clients up for success.
- Keeping Clients Happy
- Account Ownership: You’ll manage your own book of accounts, acting as their go-to partner and primary problem-solver.
- Find Growth: You’ll stay close to your clients, checking in often to see where else we can help them (and growing our revenue in the process).
- Fixing Problems: When things go sideways, you handle it. You’ll resolve issues independently and make sure the client stays happy.
Are you the one?
- The Experience: You’ve got 3–5 years in client services, experiential, or operations. You know how this industry moves.
- Tool Savvy: You’re a HubSpot user and an Excel wizard. You don’t just know how to use a spreadsheet; you actually enjoy making them work for you.
- A “Writer-Analyst” Hybrid: You can write a professional, compelling proposal in the morning and build a complex staffing budget in the afternoon without breaking a sweat.
- Self-Sufficient: We don’t do a lot of hand-holding here. You’re comfortable being your own admin and taking pride in your work.
- Deadline Junkie: You actually like the rush of a “hard” deadline.
How is this position different?
Most “Sales” or “Account Management” jobs hand off the hard work once the contract is signed. We don’t. Success here isn’t just about the “win”- it’s about the execution. You’ll get to see the projects you built come to life, knowing they’re successful because of your prep work and how you prepare our staffing teams.
